Information we process

We process contact and company details you provide, enquiry correspondence, discovery-form answers, order and subscription records, and account information needed to supply our services. Hosted systems also process customer or employee records that an authorised client uploads.

Website and hosting infrastructure process technical information such as network addresses and request logs for delivery and security. The discovery form uses a protected network-address hash to limit repeated submissions. Avoid submitting sensitive personal information that is not needed for your enquiry.

Why we use information

We use information to respond to enquiries, review requested projects, create and support accounts, provide agreed services, administer payments, prevent abuse and meet legal obligations. Depending on the activity, processing is based on your consent, steps to enter or perform an agreement, a legal obligation or a legitimate interest permitted by law.

For information uploaded by a business client, that client generally determines the purpose of processing. Requests concerning those records may need to be directed to the business responsible for them. Toolbox AI handles its own account administration and enquiry records directly.

Service providers and sharing

Information may be processed by providers supporting hosting, storage, email delivery, payments and the services or integrations you request. Our website uses Cloudflare-based hosting through Sites; enquiry and discovery information may be transferred to Toolbox AI’s internal review systems. Where PayFast is used, it processes payment information under its own privacy terms.

Service providers may process information outside South Africa. Such processing must be handled in accordance with applicable data-protection requirements. We may disclose information when legally required or necessary to protect lawful rights.

Cookies and browser storage

Essential browser storage or cookies may support preferences, sessions and security. Google Analytics is currently disabled on the main website. If enabled, optional analytics requires your choice through Analytics preferences; you may decline or withdraw that choice there. Enquiry text and contact details are excluded from the website’s analytics events.

Retention and security

We retain information for as long as needed for the purpose collected, the ongoing client relationship, dispute handling and applicable legal record-keeping obligations. Retention can vary by record type. Contact us for a review or deletion request; some records may need to be retained even after an account closes.

We use access controls and technical safeguards appropriate to the service, but no online system can guarantee absolute security. Protect your account and promptly report suspected unauthorised access.

Your choices and rights

You may request access to or correction of your personal information, ask for deletion where permitted, object to qualifying processing, or withdraw consent where processing relies on consent. We may verify your identity before acting. Withdrawal does not make earlier lawful processing unlawful.
